Use this checklist to verify readiness before your first purchase order ships with any major retailer. It covers the administrative, technical, physical, and operational foundations required to ship compliant and avoid chargebacks from day one.
1. Administrative & Portal Setup
- Vendor portal access confirmed: Credentials verified for all logistics and accounts payable staff — Walmart Retail Link, Target Partners Online, Home Depot Vendor Center, or retailer-equivalent portal
- Legal entity and banking registered: W-9, ACH/EFT banking details, and legal entity information uploaded and approved in the vendor portal
- Insurance certificates on file: General liability insurance and any retailer-required certifications (e.g., GFSI for food at Costco) current and on file
- GS1 Company Prefix obtained: Registered in the GS1 US Data Hub; all GTINs assigned and active
- Routing guide reviewed: Current version of the retailer's routing guide downloaded and reviewed by logistics team
2. EDI & Technical Integration
- EDI 850 (Purchase Order): Configured to receive and acknowledge POs from retailer's trading partner network
- EDI 855 (PO Acknowledgment): Configured and tested; acknowledgment sent within retailer's required window
- EDI 856 (ASN): Configured for automated transmission at shipment; tested with retailer's EDI team
- EDI 810 (Invoice): Configured and tested for accurate post-shipment invoice submission
- AS2 protocol verified: Systems configured for AS2 using ANSI X12 4010 or 5010 as required by retailer
- Barcode scan quality verified: All UPCs/GTINs tested at ANSI Grade B or higher before production
- Inventory feed automation active: Real-time inventory sync prevents out-of-stock cancellations on retailer's website or ordering systems
3. Packaging & Physical Standards
- Carton integrity confirmed: All master cases under 50 lbs and meet Edge Crush Test (ECT) standards
- Pallet type confirmed: 40" x 48" GMA Grade A or block pallets (CHEP/iGPS); heat-treated for international loads where required
- SSCC label placement: Serial Shipping Container Code labels applied to the long side of the carton, away from tape or seams
- Label accuracy verified: All carton and pallet labels tested for scan quality; data matches item setup in retailer system
- Prototype review complete: Physical samples or pre-pack displays sent to retailer for stability and fit testing if required
4. Logistics & Execution Readiness
- MABD/RDD logic configured: Internal lead times in ERP or OMS match the retailer's Must Arrive By Date or Required Delivery Date logic
- Ship window management active: PO management process in place to flag orders approaching ship window deadlines
- Approved carriers confirmed: Collect shipment carrier list reviewed; only retailer-approved carriers booked for collect POs
- Appointment scheduling process established: Team knows how to book DC delivery appointments and understands lead time requirements
- Warehouse staff trained: Warehouse and customer service teams trained on exception management and missed appointment procedures
- Compliance scorecards bookmarked: Retailer performance dashboards scheduled for weekly review
5. SOP Documentation
- Retailer-specific SOPs written: Written pick, pack, label, and ship instructions created for each retailer before first PO ships
- Pallet build instructions documented: TI/HI configuration, pallet type, and weight limits documented per retailer
- ASN trigger procedure defined: Clear internal process for when ASN is transmitted and who is responsible
- Exception escalation process defined: Team knows what to do if a shipment misses its window, a carrier fails to pick up, or an ASN error is discovered
